Sharing documents with students: why is it important?

Sharing documents with students through the student portal is an essential part of creating a clear, secure, and efficient communication experience throughout the student journey. Universities regularly need to provide applicants and students with important files such as enrolment documents, invoices, academic policies, timetables, or supporting resources. By making these documents available directly within the portal, institutions ensure that students can access the information they need anytime, from a single trusted location.

Using the portal also improves operational efficiency for staff by reducing the need for manual email attachments and repeated follow-ups. Documents remain centrally managed, easier to track, and consistently accessible. In addition, portal-based document sharing supports a more professional and organised student experience, while helping institutions maintain better security and compliance when handling sensitive information.

How to share documents/files in the Portal

A quick and simple steps will get you all set to share a document with a student:

  • Access the profile you wish to share a document with

  • Visit the Files tab:

  • Click on Upload a file:

  • Browse your file to upload it, checkbox the option Available for download on Portal, give it a label so the student can easily identify it, and finally Upload file:

And voilรก, the file is uploaded, and this profile can now download it from the Portal! Please note that profiles can have many more files uploaded, but they only get to see the ones you marked as available on the portal.

After uploading it, you can still do a few more actions:

  • Download it yourself

  • Edit the file, to make it unavailable in the Portal or replace the file and label

  • Delete it (naturally, it will also delete it from the Portal)

How can students download the files in the Portal?

As a staff you manage everything in the backend side of things, but students only get to see the frontend of things. Just a fancy tech-word for Portal ๐Ÿ˜‚

In the Portal, by clicking on the profile name located on the low left corner, students will see a button named Documents:

Inside, they get to see all the documents available to them (again, only the ones that are marked as AVAILABLE ON THE PORTAL in the backend):

And that's absolutely it!

The student can easily see all the files and identify them by description, file name, size, date uploaded and, last but not least, the download button is also there.
