Overview
Full Fabric allows institutions to seamlessly collect all the necessary data for HESA reporting by configuring custom fields within the platform. When the reporting window opens, staff can generate the HESA report in the required XML format directly from the platform. If custom field mappings are required, a CSV file can be used to define how fields in Full Fabric correspond to those in the HESA report.
Step 1: Setting Up HESA Fields
To prepare for the HESA report, it's important to configure your Full Fabric environments so all required data can be captured. This involves:
Extending the data schema: Add HESA-relevant fields to profiles, classes, or other objects in Full Fabric.
Customising intake forms and profiles: Ensure applicants and students are prompted for all the information required by HESA.
Mapping data collection processes: Review your admissions and student lifecycle workflows to make sure HESA data points are included at the relevant stages.
We recommend consulting HESA’s specification to determine which fields must be collected.
Step 2: Navigating to the HESA Report
Once all data is in place, staff can generate the HESA report as follows:
Click Settings (represented by the gear icon) in the sidebar.
Navigate to General settings.
Click Documents.
Find and select HESA report templates.
Step 3: Generating the Report
On the HESA report page, you will see the option to generate the report:
Download the XML file: Click the relevant button to download your institution’s HESA report in XML format, ready for submission.
Check for missing data: The page may indicate if any required data is missing.
Step 4: Using a CSV Mapping File (Optional)
If your institution uses nonstandard field names or has specific mapping requirements, you can use the included CSV file to define how Full Fabric data maps to HESA fields:
Download the CSV template from the HESA report page.
Edit the CSV: Specify how each Full Fabric field should be mapped to the corresponding HESA field.
Upload the completed CSV back to the system as instructed.
This provides maximum flexibility for institutions with bespoke data models.
