Overview
PandaDoc integration allows you to collect legally binding electronic signatures on application forms and offer letters directly within FullFabric. Applicants can review and sign documents without leaving the platform, streamlining your admissions workflow while maintaining full compliance with eSignature regulations (eIDAS, ESIGN, UETA).

Application Acceptance: Require applicants to digitally sign terms and conditions before submitting their application
Offer Letter Signing: Send personalized offer letters that applicants can review and sign electronically
Contract Management: Collect signatures on enrollment agreements, financial commitments, or other institutional contracts
Prerequisites
Before setting up PandaDoc integration, you'll need:
⚠️ An active PandaDoc Enterprise plan - Production API access (required for the FullFabric integration) is only available on Enterprise plans. Business and lower-tier plans do not support Production API access. Contact PandaDoc Sales to upgrade if needed.
PandaDoc Production API Key (also called "Developer Key") generated from your PandaDoc Dev Center
Administrator or Configuration permissions in FullFabric
Account Owner or Admin role in your PandaDoc workspace (required to access Dev Center and generate API keys)
Note: While PandaDoc offers a Sandbox environment for testing on Business plans, the FullFabric integration requires Production API access, which is exclusively available on Enterprise plans.
How It Works
Step 1: Generate Your PandaDoc API Key
Before connecting to FullFabric, you need to generate a Production API key in PandaDoc:
Log into your PandaDoc account
Navigate to Settings > Integrations > API
Access the Developer Dashboard (Dev Center)
Generate a Production API Key
Copy the API key - you'll need it in the next step
Important:
Only Account Owners and Admin users can access the Dev Center
Production API keys require approval from PandaDoc (contact your Account Manager if needed)
The API key is tied to the user who generates it, so use a stable admin account
Step 2: Connect PandaDoc to FullFabric
In FullFabric, navigate to Settings > Integrations
Locate PandaDoc in the available integrations list
Click Configure or the settings icon
Enter your PandaDoc credentials:

Click Test Connection to verify the integration
Once successful, the status will show as Active
Click Save or Activate
Step 3: Enable PandaDoc for Application Templates
Go to Applications > Templates
Select the application template where you want to enable eSignature
Navigate to the Settings or Advanced section
Enable eSignature Provider
Select PandaDoc from the dropdown (DocuSign is the default if both are enabled)
Configure signature requirements:
Add signature instructions or context text
Specify required fields (signature, date, place)
Save your template settings
Step 4: Add Signature Terms to Your Template
Within your application template editor, add a Terms & Conditions section or dedicated signature tab
Insert the terms, agreements, or documents that require signature
Configure signature placement and required fields:
Signature field (required)
Date of signature (optional but recommended)
Place of signature (optional)
Preview the signing experience to ensure proper layout
Step 5: Applicant Signing Experience
When an applicant reaches the signature step:
They'll see the document/terms that require signature
PandaDoc's embedded signing interface opens within FullFabric
Applicant reviews the document
Applicant provides:
Electronic signature (drawn, typed, or uploaded)
Date (if required)
Location/place (if required)
After signing, the document is immediately processed and stored
Applicant receives confirmation and can proceed with their application
Step 6: Access Signed Documents
For Administrators:
Navigate to the applicant's profile or application record
Go to the Documents section
Signed documents appear with a PandaDoc certificate indicator
Click to download the signed document with certificate of completion
View audit trail showing:
When the document was sent
When it was viewed
When it was signed
IP address and device information
For Applicants:
Signed documents are available in their applicant portal under My Documents
They can download a copy with the completion certificate at any time

Q: What PandaDoc plan do I need for this integration?
A: You must have an active PandaDoc Enterprise plan. Production API access (required for this integration) is only available on Enterprise plans. If you have a Business or lower-tier plan, contact PandaDoc Sales to upgrade.
Q: Where do I find my PandaDoc Developer Key?
A: Log into PandaDoc, go to Settings > Integrations > API, access the Developer Dashboard (Dev Center), and generate a Production API Key. Only Account Owners and Admin users have access to this area.
Q: What should I enter in the "Site" field?
A: Use https://api.pandadoc.com - this is PandaDoc's standard Production API endpoint.
Q: The "Test Connection" button failed. What should I check?
A: Verify that:
You're using a Production API key (not Sandbox)
The API key is valid and hasn't been revoked
Your PandaDoc account is active
The user who generated the API key hasn't been removed from the workspace
Q: Can I use both DocuSign and PandaDoc in my FullFabric account?
A: No. You must choose which one to use at the template level. DocuSign is set as the default when both are enabled.
Q: Are PandaDoc signatures legally binding?
A: Yes. PandaDoc complies with major eSignature regulations including eIDAS (EU), ESIGN Act (US), and UETA, making signatures legally binding in most jurisdictions.
Q: Can I customize the signing instructions or branding?
A: Yes, you can add custom instruction text to guide applicants through the signing process. Branding customization depends on your PandaDoc account tier.
Q: Can I use PandaDoc for offer letters as well as applications?
A: Yes! PandaDoc can be enabled for both application templates and letter templates, giving you flexibility across your admissions workflows.
Q: What if I need to change from DocuSign to PandaDoc mid-cycle?
A: You can switch providers at the template level. However, any documents already in progress with DocuSign will need to complete with DocuSign. New documents will use PandaDoc once you change the setting.
Q: I have a PandaDoc Business plan. Can I test the integration?
A: While Business plans can access the Sandbox API for testing purposes, the live FullFabric integration requires Production API access, which is only available on Enterprise plans. You'll need to upgrade to Enterprise before deploying the integration in your production environment.
