Segments Rosetta Stone: finding your old list rules in the new lists

Learn what changes with the new, and much more powerful, Segments tool

The new Segments Rosetta Stone has been launched! Every rule you used in the old list filters still exists in the new lists, with the same meaning. Only the way you pick it has changed. Your saved views and shared segments carry over unchanged, because both screens read and write the same rules.

What changes?

The main change is the rule picker:

  • Old screen: one long Rule dropdown, grouped into Profile, Field, Applications, Evaluations, Campaigns, Events, Forms, Organisations and Course registrations. Field rules had a separate Field picker.

  • New lists: every filter row has four columns, filled left to right: Source → Field → Rule → Value.

The old group name becomes the Source. The thing the old rule talked about (owner, tags, potential, a campaign) becomes the Field. The verb (is, is not, has, was sent) becomes the Rule.

To use this guide, find your old rule in the tables under Rosetta Stone, then pick the Source, Field and Rule shown in the same row.

Filter a list

  1. Click Show filters in the list toolbar.

  2. Click Add Filter +. A new row appears.

  3. Pick a Source ("Select a source"). Example: Profile, Application, Campaigns.

  4. Pick a Field ("Select a field"). Some sources have only one field, which is picked for you.

  5. Pick a Rule ("Select a rule").

  6. Fill in the Value, if the rule asks for one.

  7. To remove a row, click its delete icon.

If AI is on for your institution, you also see Add by describing +. Type a sentence such as "applications from Brazil since January" and click Suggest filters. Check the rows it adds before you rely on them.

Save the filter as a view

Open the Views dropdown:

  • Save changes updates the current view.

  • Create as new view saves the current filters as a new view.

  • Reset view drops unsaved changes.

  • Advanced → View settings sets who can see it: Private (only you) or Team (the teams you pick).

Views you saved on the old lists appear here too. System view cannot be changed.

Build a shared segment

  1. Go to Segments and click Create a new segment.

  2. Enter a Name and click Create segment.

  3. On the Builder tab, click Edit filter, add rows as above, then click Save changes.

  4. The live count shows "N profiles" and the share of your database. Search profiles narrows the preview.

You need the shared segments edit permission to change a segment. You cannot delete a segment while a campaign or automation uses it.

AND / OR

A segment uses one setting for all its rows: either every rule must match (AND) or any rule may match (OR). There are no nested groups, in the old screen or in the new lists. To mix the two, for example "(A or B) and C", use an AND segment and put the OR part into one multi-value rule: most rules in the new lists accept several values, and those values count as OR.

Operators for form fields

No rule a user could pick in the old screen is missing from the new lists. These are the behaviours that differ.

What to do

Operator choice

Any operator on any field

Only operators that fit the field type

An old rule such as "contains" on a drop-down has no match in the Rule column. Rebuild it with Is plus several values.

Lifecycle, potential and class rules on lists

Disabled in the filter; set only by clicking stats cards

Selectable as normal rows; cards add visible rows

Edit or delete the row a card added, like any other filter

AND / OR on lists

List filters always combined with AND

Still AND on profile, application, class and course lists

Use a shared segment, or the Evaluations list, when you need OR

Setting-dependent rules

Evaluation started/submitted/assigned and Kira hidden unless the setting was on

Always listed

Ignore them if your institution does not use the feature; they will match nobody

Missing "False" options

Evaluations Started/Submitted, Clicked through and Kira have no negative

Same in the new lists

No workaround inside one segment

Organisations list

Field-only filter over organisation fields

Not yet in the new lists

Keep using the current Organisations list

Segment access scope

Option on shared segments

Not editable in the new lists; existing value kept

Ask support if you need it changed

New in the new lists: Owner › Is none of, Lifecycle › Has roles, Course › Is in course, Teams › Is in teams, Right to be forgotten, Application › Review status, First UTM source/medium/campaign/content/term, and Add by describing +.

Open question for the product team: on the new lists the connector between rows may read "or" while the list applies AND. Confirm in the UI before telling users the connector controls list results.

FAQ and troubleshooting

I can't find "is owned by" (or another old rule). It is split across Field and Rule now. Pick the Source first, then look at the Field list. Use the Rosetta Stone tables above.

My custom form field is not in the Field list. Check Source is Profile. Then look under the right group: profile form fields are in "Profile fields", application form fields in "Application fields". Matrix, file and repeating-row fields cannot be filtered.

The Field column is empty or says "Loading fields…". Wait a moment; fields load after you pick a Source. If it stays empty, reload the page.

I can't pick the operator I used before. The new lists hide operators that do not fit the field type. See Differences and gaps.

"Unable to save. Fields can't be blank." One row is incomplete. Fill in its Value or delete the row.

Are my old saved views lost? No. They appear in the Views dropdown and still work on the old lists.

Do segments used by campaigns or automations change? No. They keep the same rules. You cannot delete a segment while one of them uses it.

A stats card added a filter row I didn't create. Clicking a card adds its filter as a normal row. Delete the row to remove it.

My changes vanished when I switched view. Unsaved filters are dropped when you pick Discard changes. Choose Save and switch to keep them.
