Connect Full Fabric to Zapier

Zapier lets you connect Full Fabric to thousands of other tools without writing any code.

Send leads from your website, chatbots, social media lead forms or event tools straight into Full Fabric, and let things that happen in Full Fabric, such as a submitted application or a change of lifecycle state, kick off work in your other tools.

What can I do with Full Fabric in Zapier?

A Zap always starts with a trigger (something happens) and continues with one or more actions (something is done). Full Fabric can be both.

Triggers: when something happens in Full Fabric

Trigger

Starts your Zap when…

Speed

New Form Submission

someone submits one of your Forms

Instant

Lifecycle State Changed

a profile's lifecycle state changes in a class, for example from prospect::started_application to applicant::submitted

Instant

Application Submitted

an application is submitted, including when it's resubmitted

Every few minutes

New Application Started

someone starts an application

Every few minutes

New or Updated Profile

a profile is created, or its fields or roles change

Every few minutes

New Event Registration

someone registers for one of your Events

Every few minutes

New Payment Transaction

a payment is recorded, for example an application fee

Every few minutes

"Every few minutes" means Zapier checks for new data on a schedule, which is every 1 to 15 minutes depending on your Zapier plan.

Before you start

You'll need:

  • A Zapier account. A free account works for simple, two-step Zaps.

  • A Full Fabric API token with write access, created by an administrator. See How do I create an API token?

  • Your Full Fabric address, the one you use to log in, for example https://apply.yourschool.edu.

  • A login for the other tool you're connecting.

How do I connect Full Fabric to Zapier?

  1. Open the Full Fabric invitation link while logged in to Zapier, and accept the invitation.

  2. In Zapier, go to Apps and click Add connection, then choose Full Fabric.

  3. In Host, enter your full Full Fabric address, including https://.

  4. In Authentication token, paste your API token.

  5. Click Yes, Continue. Zapier checks the details and names the connection after your institution.

If you see "Host must be the full HTTPS address of your Full Fabric site", check that the address starts with https://. If actions fail with "this token does not have write access", ask your administrator for a token with write access.

How do I send form submissions from another tool into Full Fabric?

Use this for lead-generation forms, chatbots, education portals and website contact forms.

  1. In Full Fabric, go to Apps > Forms and create a form whose fields match the data you'll receive. First name, Last name and Email are always required.

  2. In Zapier, click Create > Zaps and give your Zap a name.

  3. Choose the other tool as the trigger, for example your website form builder, and pick its trigger event. Log in to that tool and click Test trigger.

  4. Add an action step, choose Full Fabric, and set the event to Create Form Submission.

  5. Choose your Full Fabric form. Its fields appear automatically.

  6. Map each field from the other tool to the matching Full Fabric field. Every required field must be mapped.

  7. If your institution uses Policies, fill in the consent fields. When a consent question is answered Yes, its Source of consent and Date of consent are required.

  8. Click Test step, then check the submission under Apps > Forms on the form's submissions page.

  9. Turn the Zap on.

For submissions to be accepted:

  • Field types must match, for example checkbox, dropdown, paragraph or single line.

  • Checkbox and dropdown options must match exactly, including capital letters.

  • Product choice fields can't be sent through Zapier, so they don't appear in the step.

If something doesn't match, Zapier shows an error such as "Full Fabric rejected the request. profile > email: value already exists", naming the field to fix.

How do I create or update profiles from another tool?

Use Create or Update Profile when you want the person in Full Fabric but don't need a form submission, for example for leads from social media lead forms or a business-card scanning app.

  1. Create a Zap with your lead source as the trigger.

  2. Add a Full Fabric action and choose Create or Update Profile.

  3. Map the email address and any other profile fields. Your own profile fields, and consent fields if you use Policies, appear automatically.

  4. Test the step and turn the Zap on.

If a profile with that email address already exists, Full Fabric updates it instead of creating a duplicate. Updating a profile never changes its tags. To change tags, use Add Tags to Profile or Remove Tags From Profile.

To use the profile in later steps, for example to tag it or add it to a class, add a Find Profile step and tick Create Full Fabric Profile if it doesn't exist yet?

How do I start a Zap when something happens in Full Fabric?

  1. Create a Zap and choose Full Fabric as the trigger app.

  2. Choose a trigger event from the table above.

  3. Fill in any options:

    • New Form Submission: choose the form.

    • Lifecycle State Changed: optionally fill in From State and To State (see below).

    • Application Submitted and New Application Started: optionally choose a class or enter an application template ID.

    • New or Updated Profile: optionally choose a class.

    • New Event Registration: choose the event.

    • New Payment Transaction: optionally choose a State, for example Succeeded, so the Zap only runs for completed payments.

  4. Click Test trigger to load an example, then add your actions and turn the Zap on.

About lifecycle states: write states exactly as they appear in Full Fabric, in the form state::substate, for example prospect::started_application or applicant::submitted. Leave a box empty to match any state. A profile that's newly added to a class has no previous state, so it never matches a From State.

The application PDF isn't available through Zapier. Use the profile or application ID from the trigger to find it in Full Fabric.

How do I update another tool when someone's lifecycle state changes?

For example, add applicants to a messaging or CRM tool when they submit, or send a welcome message when they're admitted.

  1. Create a Zap with Full Fabric and the trigger Lifecycle State Changed.

  2. In To State, enter the state you care about, for example applicant::submitted. Leave it empty to send every change.

  3. Click Test trigger. The example shows the person's name, email, mobile number, class and old and new states.

  4. Add an action in your other tool, for example creating or updating a contact.

  5. Map First Name, Last Name, Email, Mobile Number and New State to the matching fields in that tool.

  6. Test the step and turn the Zap on.

Mobile Number comes from your profile form's phone field. If your profile form has no phone field, it's empty.

How do I update tags, classes and lifecycle states from another tool?

Each of these actions asks for the Profile: an email address, or a Full Fabric profile ID from an earlier step.

  • Add Tags to Profile and Remove Tags From Profile: enter one or more tags. The profile's other tags stay as they are.

  • Add Profile to Class: choose the Class and the starting Lifecycle State. If the person is already in that class, use Change Lifecycle State instead.

  • Change Lifecycle State: choose the Class and the new Lifecycle State. The person must already be in that class.

  • Assign Owner: choose the Class and the staff member in Owner.

How do I sync event registrations and attendance?

To register people from another tool, for example a partner's sign-up page:

  1. Add a Full Fabric action and choose Register Profile for Event.

  2. Choose the Event. Its registration fields appear automatically.

  3. Choose a Response (Yes, No or Maybe) and map the person's details.

If the email address is new, Full Fabric creates the profile too. The event's confirmation email is sent as usual.

To record attendance after an online event, from your online meeting or webinar tool:

  1. Create a Zap with your meeting tool's attendee trigger, for example "New participant".

  2. Add a Full Fabric action and choose Update Event Registration.

  3. Choose the Event, map the attendee's Email, and set Attended to Yes.

Leave Response empty to keep the person's current answer.

Frequently asked questions

My Zap says "Full Fabric rejected the request…". What do I do? The message names the field that needs fixing, for example source_of_consent: can't be blank. Map a value to that field and test again.

Why didn't my Zap run straight away? Every trigger except New Form Submission and Lifecycle State Changed is checked on a schedule, every 1 to 15 minutes depending on your Zapier plan.

Which version of Full Fabric should I choose in Zapier? Choose version 1.8.0 or later to get everything described in this article.
