Allowing applicants to pay fees directly on the application form streamlines the enrollment process and enhances the applicant experience. This article outlines the benefits of this feature, provides use cases, and offers step-by-step instructions for setting it up.
Quick navigation:
Benefits of Enabling Fee Payments
Enabling fee payments on the application form offers several advantages:
Streamlined Enrollment Process: Applicants can submit their applications and pay required fees in one seamless transaction, reducing administrative overhead.
Improved Commitment: By requiring upfront payments, such as deposits or full tuition, institutions can gauge applicant commitment and secure funding early in the process.
Enhanced Applicant Experience: Simplifying the payment process helps applicants feel more confident and engaged, as they can complete their application without navigating multiple systems.
Use Cases
1. Full Upfront Payment
Some programs, particularly Short or Executive Education courses, may require that the full tuition be paid at the time of application. This configuration ensures that applicants are fully committed before their enrollment is processed.
2. Deposit Payment
Degree programs often require a deposit fee as a sign of commitment from the applicant. By defining a deposit fee in the payment plan setup and marking it as mandatory, institutions can ensure that applicants demonstrate their intent to enroll.
Setting Up Fee Payments
Configure Fees on Payment Plans
To enable fee payments as part of the application process, you must configure fees at the payment plan template level or manually within individual profile payment plans. Here’s how to do it:
Adding or Editing Fees:
When creating or editing a fee in the payment plan, look for the checkbox labeled "Profiles are required to pay this fee to complete their enrolment/registration process."
Ensure this checkbox is selected for any fees that should be mandatory for application submission.
Configure an Application Template for Fee Payments
To allow applicants to pay for payment plan fees directly within an application form, follow these steps:
Navigate to the Payment tab of your desired application template.
Click on Disabled next to the Payment tab to activate it.
Check the option labeled "Required fee(s) from Payment Plan."
Applicant Experience
Once configured, applicants will experience a streamlined process:
After completing their application or enrollment form, they click the Pay & Submit button.
This action redirects them to a payments page where they can pay any defined fees associated with their application.
Alternatively, if necessary, they can send payments to an external payer.
Enabling fee payments directly on the application form not only simplifies the enrollment process but also enhances applicant commitment and satisfaction. By following these setup instructions, institutions can create a more efficient and user-friendly experience for prospective students.
