1. In a 'send email to profile' action of a workflow, do I need to populate the subject area or will it automatically apply the default subject of the template?
Yes, you need to type a subject, otherwise emails will be sent without a subject.
2. I edited a Workflow, why is the performance area now showing 0 values?
Once a workflow is edited, the performance metrics are all restored to 0
3. If I remove an action from a Workflow, will it still be triggered to profiles?
Yes, the action will still trigger for profiles already in the workflow, even if they haven’t reached that action yet. It won’t trigger for profiles that enter the workflow after the action is removed. Each profile gets the actions that were present in the workflow in the moment it entered in it.
4. Is it safe to delete a Lifecycle Workflow?
If a lifecycle workflow is deleted, the profiles who are in it won't have state transitions anymore and will remain in the state they are in that moment. Check the Automation tab first to assess if it's safe to delete.
5. I have a workflow with the action 'add profile to class' but profiles aren't being added, why?
The 'add profile to class' action only works if the class is in the 'applications open' state. If the class is in any other state, profiles won’t be added. Check the class state and update it if needed.
6. What happens if I quickly transition a profile through multiple lifecycle states which have workflow actions configured in a lifecycle workflow?
The workflow actions may not trigger because the system needs time to process them. Wait a few minutes before making consecutive lifecycle state transition on the same profile, if there is a lifecycle workflow running.
7. Can a profile be in a lifecycle workflow twice at the same time?
Yes. If a profile meets the trigger conditions again at a different time, it will re-enter the workflow and go through the configured automations again, even if it’s already in that same workflow or had been in the past.
8. How can I use my institution’s general or team email addresses for sending automated emails?
To use general or team email addresses in automations, you need to create them as staff users in the Staff Management area.
9. Why isn't the workflow action 'add profile to class' not working?
The add profile to class workflow only works if the class is in the 'applications open' state. If the class state In progress or Done, the profiles aren't added to it.
10. Can I temporarily pause a lifecycle workflow and resume it later?
Yes. In the Details tab, deselect the current classes and select only a test class with no profiles in it. This stops new profiles from entering the workflow. The ones already in it will continue until they complete it or meet the exit conditions. To resume it later, simply select back the original classes in the Details tab.
11. Can profiles be moved back to a previous lifecycle state via an automation?
No. Profiles can’t move backward in the lifecycle funnel through automation, only staff members can do that manually. For example, if a profile is already in a class and submits a form that triggers an automation to place it in an earlier lifecycle state within the same class, the automation won’t run.
