How can students access their payment plans?
Students can view a list of their payment plans through the Payments page, which is unlocked to them upon a payment plan being published by staff. Provided that students have at least one published payment plan, Payments will then be one of the inbuilt tabs available from the profile name menu, as demonstrated below:
The Payments page
The Payments page is an overview of a student's payment plans, where they can view their fees and make payments:
On the left, the payment plans are displayed in detail, each as a separate table featuring the respective list of fees (ordered by due date) and most important details (namely Description and Amount). On the right side of each row there are two actions:
Send to Payer: The ability for applicants to send the specific fee for an external payer to pay.
Pay now: Opens a sidebar that allows applicants to pay their fee.

As your school is integrated with Flywire, students have the chance to easily execute the payment by clicking Pay with Flywire. 🤑 The way it works is very similar to paying an application fee via Flywire, so please read this article if you're interested in reading about the payment process.

Moving on to the table on the right, it consists of a reminder of the next due payment to help students stay on top of their financial obligations. For added convenience, it also acts as a shortcut to fulfill the transaction or see the fee details by clicking Pay now or See details:

Payment Plan Notifications: don't let students forget their due fees
Payment Plan Notifications are automated alerts related to a student’s payment plan. These notifications help both your institution’s team and students stay updated on upcoming payments or important billing events without needing manual follow-ups.
Why use them?
Reduce administrative effort: Automate reminders rather than sending them manually.
Improve on-time payments: By informing students ahead of due dates or when payments change status, you increase the chance they pay on time.
Better transparency: Students and external payers (if involved) get clear communication about what to pay and when.
How to enable it?
Payment Plan Notifications can be enabled in two places:
In the Details tab of a Payment Plan Template – Enabling it here activates the feature at the template level. This means every profile assigned to this payment plan template from that moment onwards will automatically receive notifications.
In the Details tab of an individual Payment Plan inside a profile – This option lets you enable notifications for a specific student or profile only, regardless of the template’s settings.
This setup gives you flexibility: you can manage notifications globally through the template or control them individually on a per-profile basis.
How do students receive the notifications
The payment plan notifications are sent in six different scenarios, and for each there is a unique notification template created in the System Email Templates area, located in General Settings > Automation > System Email Templates (usually, only Management/Admin staff users have access to it):
14 days before the fee due date
7 days before the fee due date
1 day before the fee due date
When the payment fee becomes overdue
7 days after the fee due date
14 days after the fee due date
Staff users with the Management/Admin role can edit and customise the content of each notification email, since they have access to the module. However, the timing and sequence of when these notifications are sent cannot be changed. The six scenarios described above are fixed and not editable.
