1. Will archived classes still appear in a programme’s class list?

Yes, archived classes will remain visible in the overall list of classes. This allows you to keep a complete history of all past intakes of that programme.

2. Who can create new staff users or change the roles of existing users?

The creation of new staff users or changes to the roles of existing users must be done by the management/admin users and not by the support team.

3. Can I remove the automatic email notifications for staff tasks?

No, task notification emails to staff are automatic and cannot be removed. However, you can set up a filter in Gmail/Outlook to automatically delete them.

4. Why do suspended staff users still appear in some platform areas?

Suspended staff users appear in certain areas, such as views and tasks, because there could be relevant information that other staff users may need.

5. Can a staff user be deleted instead of suspended?

No, staff users cannot be deleted, only suspended. Suspended users cannot log in the instance whatsoever, the suspension is totally safe security-wise.

6. How can I create a new Theme for my programmes?

Only the support team can create new Themes, please reach out to support.

7. Can the Full Fabric support liaise directly with students to provide support?

No, our support team can only liaise with the institutions and their staff.

8. Why can't I edit fields in the Info tab of profiles?

Because your staff email isn’t verified. To fix this, access your profile and in the Summary widget (on the right side) send yourself a new verification email.

10. Why are there multiple Organization contacts with the same email?

Because organization contacts aren't Full Fabric profiles. They're just registry contacts saved from applicants’ academic or professional experience, and don't have access to the Portal.

11. I'm receiving notifications due to being a Class Owner, can I turn them off?

No, these notifications are automatic and cannot be disabled. Per default, class owners are always notified whenever someone applies to their class.

12. The task notification emails are sent from no-reply@fullfabric.cloud instead from our institution's email gateway, is it normal?

Yes. By default, task notification emails are sent from the FF email gateway.

13. I created a new staff user, will they receive the activation email?

Yes, the activation email is immediately sent. Until they activate it, the user status appears as inactive. Once they activate it, the status updates to active.

14. I’m in the staff management area but see ‘no data’ and no staff listed, why?

This usually happens because your access scope (individual or team-based) doesn’t include any staff users. In other words, your colleagues aren’t visible to you based on your current access scope.

15. Can I use the same class-level application template in multiple classes of the same programme?

No. A class-level application template can only be linked to one unique class and can't be reused, even within other classes of the same programme.

16. If a profile has submitted applications, can I safely delete a class journey from it without deleting the applications?

Yes. If the application is institution-level, the class journey can be safely deleted, and the application stays in the profile (in the applications widget). If the application is class-level, the system blocks the class journey deletion unless the application is removed first (and it will be permanently deleted).

17. By looking at a profile, how do I know that a submitted application is a class-level template or an institution-level template?

If the application name displays in red, it's an institution-level template. Class-level templates only show inside the class journey widget, while institution-level ones appear both there and higher up in the applications widget.

18. I've created a new staff user, do I need to manually send an invite to log in?

No, that's not necessary. As soon as you create the staff user, the system automatically sends them an email with their login invitation.

19. Can I edit class states or add new ones?

No. Class states are a fixed setting and cannot be modified. By default, the states are: New, Open Applications, Closed Applications, In Progress, Done.

20. I’m in a class overview area and selected a lifecycle state filter, but the list isn’t showing all profiles. Why?

That can happen if you have an individual access scope or belong to a team with a team access scope, you’ll only see profiles that fall within that scope. Profiles outside of your access scope won’t be visible to you in lists.

That can happen if you’re using a custom view. Custom views can include additional filters that combine with the lifecycle state filter, narrowing down the results. Click the Views button and select Reset View to set it back to default.
