Different admission processes using payment plans

Please find a few examples below of different admission processes involving payment plan fee payments for different types of programmes.

Short or Executive Education courses - Full upfront payment as part of their registration

Applicant chooses and pays for their whole payment plan upfront

  • Applicants select their preferred payment plan and pay for all fees upfront within their application form

Degree programmes - payment of the deposit fee to confirm their enrolment

Applicant chooses their payment plan and then pays for the deposit fee of their payment plan

  • Applicants select their payment plan during the initial application form.

  • Staff apply awarded scholarships, discounts or other customisations to relevant profile's payment plans.

  • Later, applicants select their existing payment plan in their enrolment form and pay their deposit fee.

  • The remaining tuition fees are settled by visiting the payments area of the portal.

Staff choose payment plans for applicants

  • Payment plans are created automatically through lifecycle workflow automations, or manually by staff

  • Staff apply awarded scholarships, discounts or other customisations to ALL relevant profile payment plans.

  • Applicants select their existing payment plan in their enrolment form and pay for their deposit fee

  • Subsequent tuition fee payments are made through the payments area of the portal.

How can I configure an application template to allow applicants to select a payment plan?

To allow candidates to choose their payment plan inside the application form, enable the "payment plan tab" for the application template.

Visit the relevant application template, then:

  • Select the Payment Plan tab

  • Click "Disabled" on the Payment Plan tab to activate it.

How can I define which payment plans applicants can select?

The payment plans that candidates can select in the payment plan tab of the application depend on their primary product choice and whether applicants have an existing payment plan.

When they already have payment plans for the programme of study:

  • Applicants will see their existing payment plans as their options.

When they do not have any payment plans previously created for the programme of study:

  • Applicants will see the payment plan templates associated with the selected primary product choice as their options.

How can I configure an application template to allow applicants to apply discounts to their payment plan?

To allow applicants to apply discounts to their payment plan, simply select to allow discount codes on the radio button field on the payment plan tab. This will add an input to the application form where applicants can apply discounts to their payment plan.

Please note that any discounts which staff apply to a profile's payment plan will appear to applicants on their application regardless of whether this setting is enabled.

The discounts which are available to applicants will depend on the payment plan template that they have selected.

Automatic discounts are applied automatically whereas for manual discounts applicants will need to apply them with the relevant code.

How can I configure an application templates to allow applicants to pay for payment plan fees?

To allow applicants to pay for payment plan fees in an application form, visit the "Payment tab" of an application template then:

  • Click "Disabled" on the Payment tab to activate it.

  • Check the option "Fee(s) from Payment Plan".

If you only want applicants to choose their payment plan but not pay any fees then:

  • Select "Application fee" if they need to pay an application fee on this application template;

  • OR disable the entire Payments tab [click on the green button "Enabled"]

Please note that, at the moment, it's not possible to enable both application fees and payment plan fees within an application template.

How do I need to configure payment plan templates fees for fee payment in application templates?

The fees that applicants need to pay are defined by the due date of the fee in the payment plan template, and fees that are due on the day or overdue will require payment on their application to proceed.

What options do I have for configuring fee due dates on payment plan templates?

There are several options for setting up the due dates of payment plan template fees and the choices will be dependent on your process. You can revisit this article for more details.

Fee due dates options:

  • Fixed date - select this option to select a specific date

  • After payment plan creation - select this option and put 0 days if applicants do not have an existing payment plan. For applications, since the payment plan is created after application submission, then the due date is based on the application submission.

  • Before class/course start date - select this option if applicants have an existing payment plan and need to submit their enrolment form and pay for their deposit fee a certain time before their class/course start date

Here is a quick step-by-step to adding a fee due date to a payment plan template

  • Go to General Settings > Institutions

  • Click on the Payment Plan Templates tab

  • Select the relevant payment plan

  • On the Fee tab, enter the relevant fee

  • Define your fee due dates.
