Best practices to keep a keen eye on payments with just a few clicks!

The previous article dealt with how transactions influence the display and state of payments inside the profile Financials tab, which is definitely the place to go for comprehensive student data. But what if you want something faster and more to the point? Or what if you want broader information?

Quickly see the status of someone's tuition fees on their profile

To be swiftly briefed on the happenings of someone's payment plan or if they have a plan at all, enter their profile and check out the profile sidebar as you scroll down to find the payment plans widget. It's always nested right below an application form.

For the sake of objectivity, this widget provides but the barest of details – to be exact: whether or not a payment plan exists, the name of the plan, the list of payments in the plan, and the state of each payment.

View all of the transactions received by your school

Do you want to forego the minutiae for a moment and quickly check the bulk of transactions received by your school? Be our guest! All you have to do is click Finance on the sidebar and then choose Transactions to access the full list:

Paid application fees will also be there, by the way:

Stay on top of all tuition fees owed to your school

Full Fabric automatically maintains a global list of every existing payment plan at your school, where you can quickly view and manage important information such as whether a payment plan is currently published or unpublished, if payments are on schedule or behind, how much has been paid and how much is still owed, and more. To get there, press Finance on the sidebar and then Payment plans:

You'll see something like this:

Use the column selector on the top right-hand corner of the page to pick which attributes you wish to be shown onscreen. The selection is individual and remembered by the system. In terms of payment plan data, you may display up to 12 attributes: Name, Email, Payment plan name, Product, Publish status, Fee status, Overdue outstanding, Paid, Outstanding, Subtotal, Total and Discount total.

However, you also have the option of displaying data from the profile Info tab:

In addition, to easily sift through data, you can filter it by program, publish status and fee status, just as you can also search it by profile name, primary email address and payment plan name:

In case, for whatever reason, you need to analyze the data outside of Full Fabric, just click Export on the top-right corner to promptly download an Excel version of the view:

Now, last but not least…

Display the payment plans for the profiles in an application or class page

Another thing that's also very cool is the ability to display a list of payments from inside an application or a class.

To do so:

     1) Click Programmes or Applications on the sidebar and enter a class or application, or, alternatively, enter the ALL PROFILES overview

     2) Scroll down to the user list and add the column Payment plans, like so:

Ta-dah! The records will include the students' financial data:
